This document outlines the collection, storage and access of data provided by students participating in Vipassana meditation courses and yoga classes. The data may be included in the following document: Registration Form The data controller is Vipassana in Bali (hereinafter referred to as VIB).
Purpose of Data Collection
- To enable the teacher(s) to determine whether a student’s application for a course is acceptable, and to allow the administrator to appropriately plan accommodation, meals, and transportation for students.
- To ensure students receive proper guidance and support before, during, and after Vipassana meditation or yoga courses.
- To maintain a record of students participating in courses organized by VIB.
Data Collection
- VIB collects registration forms and, if necessary, health questionnaires before the teacher authorizes participation in a Vipassana meditation or yoga course. Submission of information by students is voluntary.
- The teacher(s) in charge of the course collect registration forms from students upon their arrival at the course location.
Access to Data
- Registration forms may be accessed by the teacher(s) and the VIB administrator.
- Health questionnaires may be accessed by the teacher(s) and the VIB administrator.
Purpose of Data Storage
- To maintain course records.
- To facilitate assistance to students if they participate in future courses.
- For legal reasons.
Data Storage
- Registration forms and health questionnaires are stored by the administrator in a secure location accessible only to them.
- After the course, the administrator continues to store them in a secure location accessible only to them.
- Storage is organized by course. Any electronic records, except for those explicitly mentioned below, will be deleted after the course.
- After the course, the following participant data will be retained electronically: name, gender, address, email address, phone number, number and type of courses attended by the student.
- A list of participants for each course will also be retained.
Data Destruction
- Stored registration forms and questionnaires will be destroyed after 10 years.
Right to Access Personal Data
To request corrections to stored data, individuals may provide both the old and new information and contact the administrator. VIB encourages former students to assist the administrator in keeping their data up to date.
Any individual who believes VIB holds data about them may request a copy of these records, provided such data exists. In such cases, the requester must specify the course they attended and verify their identity to prevent unauthorized access.
The administrator must provide a copy of the data held by VIB within one month of the request.
